Questions Barn Owners Ask

Where does the money go when a boarder pays online?

Straight into your own Stripe account, connected during setup. Stripe's standard card processing applies, plus a StallWise platform fee of half a percent (0.5%). On a $900 board payment that is $4.50. Payments you record yourself, by cheque, cash or bank transfer, carry no fee at all.

How does the dictation work? Does it save things I didn't say?

You tap the mic and talk, in the barn, in your own words. StallWise drafts a note and proposes the records behind it: health entries, vitals, medications, tasks, charges, expenses, lessons. Nothing is saved until you review and confirm, and every confirmed record shows the note it came from.

How many AI Barn Notes do I get?

Each plan includes a monthly AI budget for structuring Barn Notes, and it belongs to the barn, so your whole team shares one allowance. At today's rates that is roughly 350 notes a month on Starter, 700 on Professional and 1,400 on Business. Most barns use a fraction of that. If you ever reach it, notes still save as text and AI structuring picks back up on the first of the month.

How do extras end up on the invoice?

Anything chargeable, from a ride to a dose to a completed service request, becomes a charge the moment it is logged, tied to the horse and its owner. Unbilled work shows what is waiting for each client, and the next board invoice sweeps it up. You can also invoice a client's unbilled charges on the spot.

How do I know a task actually got done?

Each task is acknowledged by the person it is assigned to, completed with a note or photo, and stamped with who did it and when. Recurring tasks create their next occurrence on completion. Anything overdue escalates to the manager automatically, and every step is in the task's history.

What happens when the barn has no signal?

Feeding, turnout, medication doses and task check-offs save on the phone and sync in order when it reconnects. A retry never logs the same action twice.

Do clients get texts?

Clients and staff who opt in get a text when a service request is approved, declined or finished, and when a task runs late. Everything else arrives by push notification, in the portal and in barn messages, which can be tied to a horse and carry photos.

Can I bring my horses and clients over from another system or a spreadsheet?

Yes, and you see it before it happens. Upload the export from BarnManager, Stable Secretary, EquestFile or any spreadsheet. StallWise recognises the columns, shows exactly what each row will become, and imports only when you say so. Horses, clients, vaccinations, health, farrier and Coggins records and opening balances are supported, and any batch can be undone with one tap. Write to support for anything else and we'll help with the migration.

Does my crew need to speak English to use it?

No. The app runs in English and Spanish, and each person picks their own language. Staff get their own login that shows only their tasks and the horses they care for.

Do I need the phone app, or can I run it from a desktop?

Both. The web app at app.stallwise.com and the iPhone, iPad and Android apps share the same account and data.

What happens when the trial ends or I cancel?

Your data stays yours. Pick a plan to keep going, or export everything as PDF and spreadsheet at any time. Cancel from Settings whenever you like.
